We are committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Policy explains how we collect, hold, use and disclose personal information, and how you can access, correct or complain about the handling of your information.
This Policy applies to personal information we collect through our website (www.umi-it.com.au), and in the course of providing IT services to our clients.
2. What personal information we collect
Depending on how you interact with us, we may collect:
- Website visitors and enquirers: name, email address, phone number, company name, and any details you provide in a contact or quote request form.
- Clients: contact and billing details, details of the IT systems and services we support for you, and any personal information contained within the systems, data, backups or communications we access in the course of delivering IT support, cybersecurity, cloud or software services.
- Website usage data: technical information such as IP address, browser type, device information and pages visited, collected automatically via analytics and cookies (see our Cookie Policy).
We do not knowingly collect sensitive information (such as health or financial information) unless it is incidentally contained within a client's own systems or data that we are engaged to support, in which case we handle it strictly as part of delivering the contracted service and in accordance with our obligations to that client.
3. How we collect personal information
We collect personal information directly from you when you:
- Submit a contact form, quote request, or newsletter sign-up on our website;
- Email, call, or otherwise communicate with us;
- Engage us to provide IT services, during which we may access systems and data as required to deliver the service.
We may also collect technical information automatically through cookies and analytics tools when you browse our website.
4. Why we collect, hold, use and disclose personal information
We use personal information to:
- Respond to enquiries and quote requests;
- Provide, manage and improve our IT services to clients;
- Communicate with you about your engagement with us, including invoicing and support;
- Send you marketing communications where you have consented (you may opt out at any time);
- Meet our legal, regulatory and insurance obligations; and
- Analyse and improve the performance of our website.
We will not use or disclose personal information for any other purpose without your consent, unless required or authorised by law.
5. Disclosure of personal information
We may disclose personal information to:
- Our cloud and software service providers (for example, Microsoft 365, backup and helpdesk platforms) who host or process data on our behalf, under contractual confidentiality and security obligations;
- Our professional advisers (accountants, insurers, lawyers) where necessary;
- Astra Custom Software and I'm The Repairer, our referral partners — only where you have asked to be referred to them for custom software/AI development or device repair services, and only the details necessary to make that referral;
- Government or regulatory bodies where required by law.
We do not sell personal information to third parties.
Overseas disclosure
Some of the cloud service providers we use (for example, Microsoft) may store or process data on servers located outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure those providers are bound by data protection obligations consistent with the Australian Privacy Principles.
6. Data security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. See our Data Protection & Security Policy for more detail on the technical and organisational measures we apply, both to our own systems and in delivering services to clients.
7. Cookies and analytics
Our website uses cookies and similar technologies, including analytics and marketing tools (such as Google Analytics and social media pixels), to understand how visitors use our site and to improve our services and marketing. Details of the cookies we use and how to control them are set out in our Cookie Policy.
8. Access and correction
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. We will respond to your request within a reasonable time. In some circumstances we may be unable to provide access (for example, where it would unreasonably impact the privacy of others), in which case we will explain why.
9. Complaints
